At e3 Software, we take the privacy and security of your personal information and mailing list data very seriously. This policy outlines what specific information is gathered by the Direct Mail software and how that information is used.

Billing Information

If you decide you wish to purchase a software license or e3 Delivery Service credits, we require that you provide us with certain billing information that is personal to you ("Personal Information"). That Personal information includes your name, address and credit card number and may also include other information such as your email address. At time of purchase, this Personal Information is securely transmitted to e3 Software's authorized payment processor, Kagi, 1442-A Walnut Street #392, Berkeley, CA 94709. No credit card information is stored beyond the lifetime of the transaction.

To the extent e3 Software may access Personal Information, e3 Software will not transmit Personal Information voluntarily to any third party without your express consent. Your Personal Information remains in your full control.

Email Tracking Information

When you send a message with the "Track delivery statistics" feature enabled (available only in Direct Mail Pro), the following data is recorded to our tracking servers each time a recipient views your email or clicks a link in the email:

  • A random number that is unique to each email delivery session.
  • The email address of the recipient.
  • The URL that the recipient clicked on.
  • The date and time the recipient viewed and/or clicked a link.

This data is kept secure and is used only for reporting delivery statistics in the "History" tab of Direct Mail. e3 Software does not harvest, sell, share, or otherwise misuse this data.

If you do not use the "Track delivery statistics" feature, no data is sent to our tracking servers.

Mailing List Information

Direct Mail stores all of your message and mailing list data on your own computer. Your messages and mailing lists (except subscription groups) are never transmitted to our servers.

If you use subscription groups, Direct Mail automatically creates web pages that allow people to add or remove themselves from your mailing list. To support this feature, your mailing list (subscription group) must be stored on e3 Software servers. Mailing lists are identified only by a random number and the membership information is kept secure. e3 Software does not harvest, sell, share, or otherwise misuse this data.

e3 Delivery Service

If you use e3 Delivery Service to deliver your messages, then temporary copies of your message and mailing list are transmitted to e3 Delivery Service servers. e3 Delivery Service servers use this data to merge and send out your emails. Once the emails have been sent, this data is permanently deleted.

If you use e3 Delivery Service to deliver your messages, then any emails that bounce will bounce back to e3 Delivery Service mail servers. The email addresses that bounce are recorded by our servers and are reported back to your copy of Direct Mail as bounce statistics in the "History" tab. Emails that are reported back to us as spam by your recipients are recorded by our servers. This data is displayed to you in the "History" tab and is used by the e3 Delivery Servers to adjust quality of service.

If you do not use e3 Delivery Service to send your email, no data is transmitted to our servers.

Data Security

All data recorded by e3 Delivery Service is safeguarded by industry standard firewall and backup procedures. e3 Software servers are located in a tightly controlled data center that is monitored 24 hours a day, 364 days a year. Your data is not accessible to anyone outside of e3 Software.
